What You'll Do
  • Primary calendaring responsibilities for the CEO and President, including scheduling appointments and proactively managing Outlook calendars, working closely to keep them and the Chief of Staff well informed of upcoming commitments and responsibilities.
  • Ensure the CEO and President are both set up for success every day, prepping daily folders with meeting materials.
  • Maintain CRM and update electronic contacts
  • Keep all incoming emails organized and filed in proper email folders as assigned, ensuring follow-up as necessary.
  • Perform a variety of elevated executive assistant functions, including drafting letters and memoranda from rough notes or general instruction, composing original correspondence, reviewing, editing, and/or sending correspondence on behalf of executives.
  • Research, compile, and edit documents; create/edit presentations & other material/documents as needed.
  • Manage multiple priorities and deadlines with exemplary follow-through and confidentiality.
  • Exhibit foresight and initiative in recognizing potential problems, needs, and/or inefficiencies and proactively develops and proposes solutions.
  • In partnership with the Chief of Staff, leads the executive office team in creating technology improvements, as well as streamlining process improvements wherever possible.
  • Assist with applicable applications and/or CRM management for client correspondence and create/maintain client files.
  • Hall all organization and logistics for travel and in coordination with other executives and their assistants.
  • Complete expense reports.
  • Coordinate guest attendance by assisting in securing and confirming table placements for corporate-sponsored events.
  • Collaborate on special projects as assigned, including those that may involve the highest level of discretion and confidentiality.
  • Operate with a “no surprises” mentality, collaborating with the team to ensure seamless communication across the support team.
  • May serve as Notary Public.

What You'll Bring
  • Bachelor’s degree or equivalent work experience
  • Minimum of 5-7 years’ work experience in a complex professional services environment required
  • Leads with a servant heart; demonstrates top-level customer service through a ‘no task is too small’ approach. Ability to handle multiple priorities and deadlines with exceptional attention to detail, organization, confidentiality, and follow through.
  • Must be flexible to work an irregular schedule, including evenings, as needed.
  • Excellent organization skills with ability to initiate, prioritize, follow through on projects, work independently, and be self-directed.
  • Excellent verbal and written communications skills, including editing and creating original professional content.
  • Personal demeanor and presentation that is professional, credible, mature, courteous, and gracious. Polished yet personal approach and style.
  • Exercise judgment to determine which matters to handle independently, which require executive input, and prioritizes executive requests accordingly.
  • Proficiency in Microsoft Word, Excel, Power Point, Outlook, and Internet research.
  • Must be highly attentive to detail and possess strong analytical capabilities.
  • Experience arranging sophisticated travel (domestic and international) required.
  • Ability to interface effectively with all levels of executives, Family members, co-workers, consultants, and high-profile community leaders in a highly professional manner with the highest level of confidentiality exercised at all times.
