The Opportunity
The Events Assistant will provide administrative support and assist in elements of planning and execution of a variety of events, from highly complex VIP retreats/ employee engagement activities, celebrations and other special events as assigned. Under the supervision of the Events Manager this position will provide support to the events team.

What You'll Do

Administrative:

  • Handle multiple priorities and deadlines with attention to detail, excellent follow through, and confidentiality.
  • General office and coordination such as shipping, office supplies, event supplies, and travel coordination.
  • Provide administrative support for the Events Manager including scheduling, meeting coordination, expense reporting and general administrative duties.
  • Receive and distribute departmental mail and packages.
  • Provide timely assistance to events team members as assigned or requested.

Event Planning:

  • Provides support and “hands-on” execution for all assigned initiatives and events, focusing on exceptional outcomes and experiences for key stakeholders and participants.
  • Actively coordinate or assist with special events and employee engagement activities.
  • Develop and manage event supplies and family swag inventory before and after events.
  • Collaborate with appropriate staff to ensure all travel arrangements and logistics are made in advance and managed effectively “real-time”, depending on the event, situation, and the attendees’ preferences. Provide detailed event and travel itineraries. 
  • Thoroughly review assigned event details ensuring all planning and/or concerns are handled in a timely and professional manner. Communicate concerns to the Event Manager.
  • Attend events as assigned.
    • Assist team members by fulfilling on-site event assignments to ensure all details of the event run smoothly and as planned.
    • Serve as an active liaison with the attendees to ensure outstanding customer service while maintaining the appropriate professional boundaries.
    • Respond to concerns and notify other team members as appropriate promptly and professionally.

What You'll Bring
  • Associate degree in hospitality or related field,
  • 1-3 years of previous experience in event coordination and experience providing administrative support preferred.
  • Actively goal-driven, creative, forward-looking, and flexible.
  • Excellent time management skills.
  • Strong ability to express oneself to provide information to others effectively and in a succinct manner; outstanding verbal, written, and presentation abilities; ability to ask thoughtful questions to gain insights, listen, and incorporate learning into solutions.
  • Strong project management skills required.
  • Displays success in being proactive as well as providing behind-the-scenes “hands-on” services.
  • Excellent positive interpersonal and customer service skills.
  • Ability to collaborate and work well with teams of all types.
  •  Strong sense of accuracy, quality, and organization.  Ability to think critically in a fast-paced environment while maintaining a high level of accuracy and attention to detail.
  • Flexibility and maturity; able to remain optimistic and calm while working with shifting priorities and deadlines essential.
  • A self-starter who can work independently on multiple projects and prioritize work.

  • Must be able to work an irregular schedule, evenings or weekends as needed, additional hours and travel during peak times or as required.
