The Opportunity
The Facilities Operations Manager will be a “hands on” working manager responsible for directing and ensuring efficient day to day and strategic operations of RDV managed facilities. This position will be responsible for creating an efficient and productive work environment by coordinating and overseeing the facilities operations, security, maintenance, custodial, central supply management, food and beverage vending, and all related functional areas. The duties of this position will also include supervision and direct oversight over the facilities team and contractors, while actively participating alongside the team in the fulfillment of the work, as well as playing a key strategic and tactical role in new building developments, existing facility remodels/projects, and implementing policies, procedures and protocol to ensure a safe and aesthetically exceptional work environment in all organizational facilities.

Duties and Responsibilities

Facilities:

  • Effectively manage day to day facilities operations, including overseeing maintenance, vending, grounds, custodial/cleaning, central supplies, security, etc.
  • Responsible for the coordination of the cleaning of facilities with the custodial team to ensure excellence in cleanliness for visitors, family, and team members.
  • Coordinate maintenance, custodial, mechanical, plumbing, or electrical work at the facility as needed.
  • Responsible for ensuring a safe office environment with oversight of the maintenance policies, protocol, and related issues, as well as collaboration with IT and other functional areas as needed regarding building security systems and access.
  • On call point of contact regarding building alarm systems responder protocol.
  • Ensure proper maintenance of interior and exterior conditions to mitigate safety related concerns.
  • Effectively collaborate with appropriate team members to order and maintain inventory of facilities related supplies such as vendor food, cleaning products, and central supplies as defined, etc.
  • Coordinate, manage and maintain all facilities related contracts with outside contractors and vendors.
  • Evaluate, verify, approve, and address any problems with all invoices for payment for all facilities and building projects in a timely manner.
  • Maintain effective communications and coordination between RDV/OAPC and outside contractors and vendors to ensure timeliness and accuracy in the completion of projects, maintenance, and responsibilities.
  • Develop high standards for facility aesthetics, maintenance and cleanliness and monitor performance of team members and contractors according to set standards
  • Maintain a high-level working knowledge of the HVAC, electrical, plumbing and lighting systems to ensure all systems are functioning as intended.  Able to troubleshoot minor issues and identify when a higher level of expertise is needed for proper maintenance or service.
  • Engage in the routine and preventative maintenance of the interior and exterior structures of the building and property. Conduct periodic walk-through inspections to ensure all facilities are well-maintained.
  • Monitor and record conditions and functioning of all utilities, including but not limited to heating and cooling units, thermostats, humidity controls, etc. Ensure accurate maintenance schedules and records are kept, and replace utilities and equipment as needed.
  • Oversee all building projects to communicate and direct repair, renovation, and preventive maintenance performed by the facilities team and outside contractors. Solicit competitive bids as required.
  • Coordinate the scheduling of exterior landscaping and maintenance, including grounds, snow removal, trash, and debris removal, and maintaining an aesthetically pleasant environment.
  • Monitor hallways, offices, restrooms, waiting rooms, and other areas frequented by staff and visitors to ensure all areas are safe, orderly, and conducive to productivity and efficiency.
  • Assist with parking related issues including working with parking vendors to acquire additional parking and/or change existing accommodations, etc.
  • Maintain a courteous, helpful, and conscientious attitude in dealing with others, ensuring professionalism and confidentiality at all times.
  • Complete and update the Emergency & Disaster Plans as well as revise related protocols, including fire drills, etc.
  • Pro-actively communicates with manager regarding work and plans of the Facilities team.
  • Pro-actively communicates and collaborates with the VP of Talent Services regarding facilities issues that will impact the candidate and employee experience in any of our facilities.
  • Pro-actively communicates with the Director of Risk and Asset Management Services regarding any new projects, damages, or liability issues affecting the RDV managed buildings for proper reporting to legal or insurance carriers as required.
  • Coordinate and/or participate in the setup of the facility for special events, meetings, seminars, and conferences as directed.
  • Assist with the coordination of quarterly fire drills and arranging for annual fire extinguisher training for all employees.
  • Participate in professional development to keep current with maintenance trends. Attend workshops and conferences as needed.

Leadership:

  • Provide strong and effective leadership & management of individual employees as well as the entire Facilities team, fostering an environment of positive accountability.
  • Set expectations, monitor performance, and communicate directions clearly and effectively to the Facilities team members and other staff; evaluate performances on an annual basis. Provide training and development to staff as needed.
  • Identify and evaluate staffing needs and make recommendations for staffing requirements. Hire new staff as necessary.
  • As a service provider to visitors, the family, and internal departments, develop and maintain a departmental culture of outstanding customer service and deliverables.
  • Foster a philosophy of effective and intentional collaboration and teamwork.
  • Develop and implement strategies to reduce risk, ensure quality, increase efficiency, and create scalable processes for future growth. 
  • Participate in operations and conduct departmental meetings.
  • Assist with additional projects and duties as assigned.
Elements of Success
  • Bachelor’s degree preferred.
  • Minimum of 7 years of experience in a “hands-on,” working Facilities Manager, Operations Manager, Property Manager, or related position.
  • Working knowledge of electrical, mechanical and HVAC systems.
  • Excellent project management skills.
  • Experience managing team members.
  • Experience managing expenses within budget parameters.
  • Ability to handle sensitive and highly confidential matters and information.
  • Superior collaboration, communication, and organizational skills.
  • Ability to prioritize and multi-task.
  • Able to respond to emergency calls outside of normal business hours, including 24/7 alarm responder protocol.
  • Technical skills including ability to diagnose problems and repair.
  • Hands-on leader willing to assist the team directly with responsibilities.
  • Ability to think quickly and suitably respond under pressure.
Essential Physical Demands 
  • Ability to lift fifty (50) pounds to a maximum height of six (6) feet; occasional lifting to eighty (80) pounds.
  • Ability to stoop, bend, kneel, climb, and remain standing on feet for lengthy periods of time.
  • Ability to safely operate power machinery and tools.
  • Ability to work outdoors in all types of weather conditions.
