The Family Advisory Associate will support the team of Family Advisors in the coordination of financial services to provide a seamless delivery of outstanding client experiences and outcomes. What You'll Do
Provide professional administrative support to the Family Advisory Team, including:
- Primary calendaring responsibilities for the Family Advisors, including scheduling appointments and proactively managing Outlook calendars.
- Preparing meeting materials and proactively prepping Family Advisors for upcoming commitments.
- Maintain organized electronic file storage for client documents.
- Maintain CRM and update electronic contacts and meeting notes.
- Keep all incoming emails organized and filed in proper email folders as assigned, supporting follow-up as necessary.
- Research, compile, and edit documents; create/edit presentations & other material/documents as needed.
- Assist with research and implementation of applications and other new technologies.
- Assist with travel arrangements and complete expense reports.
- Manage multiple priorities and deadlines with exemplary follow-through and confidentiality.
- Coordinate workflows with other RDV departments, branch offices, and client household staff, helping to ensure timely delivery and issue resolution.
- Support client bill payment and funds transfer workflows.
- Gathering and organizing relevant financial information from internal and external resources.
- Assist with financial planning, modeling, and reporting.
- Maintain database of prospective and existing personal investments and manage related document workflows, including subscription documents, tax documents, statements, and investment updates.
- Demonstrates a high level of social awareness, discretion, and emotional intelligence when working in close proximity with clients, adapting communication and conduct appropriately to different settings and situations.
What You'll Bring
- Bachelor’s degree or equivalent work experience
- Minimum of 3-5 years’ work experience in a complex professional services environment
- Ability to handle multiple priorities and deadlines with exceptional attention to detail, organization, confidentiality, and follow through
- Excellent verbal and written interpersonal and communication skills, with ability to collaborate effectively
- Demonstrated ability to exercise sound independent judgment, discretion, problem‑solving and analysis in support of professional services and outcomes.
- Leads with a servant heart; demonstrates top-level client service through a ‘no task is too small’ approach.
- Must be flexible to work an irregular schedule, including evenings, as needed.
- Excellent organizational skills with ability to initiate, prioritize, follow through on projects, work independently, and be self-directed.
- Proficiency in Microsoft Word, Excel, Power Point, Outlook, OneNote, Salesforce, and Internet research.
- Ability to interface effectively with all levels of co-workers, executives, Family members, and third parties in a professional manner with the highest level of confidentiality exercised at all times.
