The Opportunity
Provide administrative support services for CDV5 Senior Director of Business and Operations, related to daily administration, planning, scheduling, correspondence, and project coordination, as well as overall support for the CDV5 business office and staff.  Additionally, provides assistance to CDV5 Business Development Team.

Duties and Responsibilities
  • Demonstrates professionalism and courtesy in all interactions with organizational leaders, guests, principals, and fellow employees.
  • Proactively identifies, suggests, and acts on alternative, creative, and innovative ways to best accomplish superior outcomes.
  • Exhibits foresight and initiative in recognizing potential problems, needs and/or inefficiencies, and pro-actively develop and propose solutions.
  • Acts as primary administrative assistant to Senior Director of Business and Operations, including calendar management, scheduling, meeting coordination, travel booking, expense reporting, general administrative duties, and hosting visitors.
  • Provides project support and coordination for a variety of business and family projects, including research, planning, creating timelines, tracking, follow up, and in some cases project leadership.
  • Provides general support and assistance to other office staff members as assigned.
  • Communicates and coordinates with household staff and RDV Corporation on a variety of items as needed.
  • Works with Family Assistant as necessary to assist with administrative details, event planning, etc.
  • Coordinates business travel arrangements and maintains detailed itineraries as assigned; assists Personal Assistant with family travel planning as necessary.
  • Manages and tracks vehicle website.
  • Ensures smooth operation of office at all times.
  • Assists with special projects as assigned.

Elements of Success
  • Minimum of three years of administrative support experience in a professional environment required; Bachelor’s degree preferred.  
  • Supervisory experience preferred.
  • Strives to ensure all duties and responsibilities are completed with exemplary attention to detail and the highest standards for all aspects requested.
  • Proficiency in use of Word, Excel, Outlook, PowerPoint, technology, and the internet.
  • Demonstrated proficiency of general office practices, procedures, and office equipment (i.e. phone/video conferencing, etc.)
  • Excellent organization skills with ability to initiate, prioritize, follow through on projects, work independently and be self-directed.
  • Proven ability to create an exceptional team and visitor experience; consistently demonstrates enthusiasm for exemplary standards of customer service.
  • Excellent verbal and written communications skills; resourceful and assertive in gathering information to effectively communicate.  
  • Excellent teamwork skills.
  • Ability to establish rapport with others and establish strong interpersonal relationships.
  • An attitude of striving to exceed expectations and a personal demeanor of flexibility and graciousness are essential.
  • Ability to interface effectively with all levels of management while maintaining the highest level of confidentiality.
