The Opportunity
Baton Collective, an affiliate of RDV Staffing, is offering an exciting opportunity for an Office & Special Events Coordinator to join our growing team. In this versatile role, you will support the CEO in all aspects of their role from managing schedules and coordinating tasks to ensuring efficient communication and effective decision-making. With your exceptional organizational skills and proactive mindset, you’ll optimize the CEO’s productivity and enable them to focus on strategic priorities, ultimately driving the success of our organization.


Beyond supporting the CEO, you’ll also take charge of managing the daily operations of our office, ensuring efficiency and effectiveness in every aspect. From overseeing administrative tasks to coordinating resources and maintaining a productive work environment, your attention to detail and problem-solving abilities will be instrumental in fostering a culture of excellence. Additionally, you’ll bring your creativity and passion for teamwork to the table by planning and executing engaging events for our employees. Whether it’s team-building activities, celebrations, or family events, your strategic approach and flair for event planning will create memorable experiences that strengthen our team and drive employee engagement across the business portfolio.

Location and Hours
  • Office is located in Ada with in-office hours on Tuesday, Wednesday, Thursday
  • Monday & Friday has the flexibility to work remotely or in-office based on preference and business need

What You'll Do
  • Serve as the primary point of contact and provide comprehensive executive assistance to the CEO, managing their schedule, communications, and tasks with precision and discretion.
  • Develop and maintain positive relationships with internal and external stakeholders, representing the CEO and the organization with professionalism and integrity.
  • Manage travel arrangements, accommodations, and other logistical details for the CEO optimizing efficiency and cost-effectiveness.
  • Conduct research, prepare reports, and gather information on behalf of the CEO, supporting informed decision-making and strategic initiatives.
  • Coordinate and facilitate smooth office operations, including managing administrative tasks, overseeing resource allocation, and maintaining a productive work environment.
  • Implement and enforce administrative policies and procedures to streamline office operations and ensure compliance with relevant regulations and standards.
  • Plan and execute engaging events for employees, from team-building activities to celebrations, ensuring seamless logistics and memorable experiences.
  • Collaborate with cross-functional teams to support organizational goals and initiatives, leveraging your organizational and communication skills to drive success.

  • Proficiency in MS Office Suite, Google Suite, and travel/expense management software, with the ability to adapt to new technologies and systems as needed.
  • Creativity and strategic thinking in event planning and execution, with a focus on creating engaging and memorable experiences for employees.
  • Ability to work independently and collaboratively, demonstrating flexibility and adaptability in a dynamic work environment.
  • Bachelor’s degree or equivalent work experience with a minimum of 2 – 4 years’ experience in Office Coordination, Executive Assistance, and/or Event Coordination or comparable relevant work.
