The Opportunity
This position will be responsible for handling and coordinating a variety of tasks with the Program Coordinator and the Director of Operations & Programs. These tasks will be both routine and those requiring more advanced skills related to program operations and data management to ensure effective and efficient support of SpringGR (SGR).

What You'll Do
SpringGR Program Support & Management
  • Manage payment process for all external consultants.
  • Coordinate with the team the recruiting and interview process for programs.
  • In coordination with the team, plan and implement the logistics for virtual and in-person trainings, meetings and events related to SGR.
  • Technology use and setup
  • Manage the logistics of catering and event snacks
  • Collect and record payments
  • Set up classes in Salesforce
  • Record participant data and attendance in Salesforce
  • Record and maintain contact lists, email, and communicate via SMS mass texting services.
  • Support with SGR events as needed.
  • Support and troubleshoot technological needs in the office with IT support.
Salesforce & Data Coordination
  • Responsible for acting as the SGR power user of Salesforce.
  • Create and build Sales Force reports as requested.
  • Assist with data collection and reporting of information relevant to the program.
  • Responsible for ensuring the correct data is entered into the Salesforce platform for applicants, students, and alumni.
  • Prepare & run Salesforce reports as needed for the SGR team.
  • Implement the tasks assigned for data collection and program setup in Salesforce.
  • Oversee and implement data collection for annual surveys and other surveys as needed, and the reporting of information relevant to the program.
  • Work with IT and Data Governance to ensure compliance.
  • Collaborate with cross-functional teams to optimize Salesforce as a Customer Relationship Management (CRM) and data tracking tool, ensuring it effectively supports organizational goals and impact measurement.
  • Attend Salesforce training events as needed.

What You'll Bring
  • Bachelor’s degree in business, project management, data management, or related field preferred with a minimum of three to five years of administrative assistant experience in a business or non-profit environment required.
  • Bilingual (English and Spanish) candidates are preferred.
  • Experience in managing projects, including strong execution, organizational, and time management skills to effectively manage multiple priorities.
  • Demonstrated ability to interface effectively with a variety of people; personal demeanor which is mature, courteous, cheerful, gracious, and hospitable. Must have a heart to help others and assist with tasks to support the program.
  • Technologically adept and confident using various technologies to support training and events. Determine the best route to troubleshoot technology issues. Work with available IT support when necessary.
  • Demonstrated experience or an understanding of relationships and networking in multi-cultural contexts.
  • Previous experience in a not-for-profit setting and/or community affairs is desirable.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Canva. CRM and database experience is desirable.
  • Task-oriented and problem-solving mentality with the ability to learn technology quickly.
  • Must have flexibility to work evenings occasionally during class programming (approximately 4-5 hours per week in the Spring and Fall).
  • Excellent verbal and written communications, English grammar, spelling, punctuation, and composition skills.
  • Exceptional attention to detail and strong ability to anticipate the needs of staff.
  • Excellent organizational skills with the ability to initiate, prioritize, follow through on projects, and work independently.
