What You'll Do
Executive Assistant Duties:
- Provide executive support to the COO and Director of Talent Services with an action oriented and resourceful approach while optimizing work processes.
- Pro-actively look for, suggest, and act on creative, and innovative ways to achieve desired outcomes.
- Develop, implement and maintain project and meeting management processes. Provide project coordination as necessary.
- Demonstrate an ability to recognize potential problems, needs and/or inefficiencies, and pro-actively develop and propose solutions.
- Handle multiple priorities and deadlines with attention to detail, excellent follow through, and confidentiality.
- Schedule meetings for and proactively manage the COO and Director of Talent Services calendars (anticipate needs, watch for potential conflicts, and assist with managing time), assist with keeping daily schedule on track, and prioritize requests.
- Organize all aspects of travel arrangements for out-of-town meetings; commercial/private flights and all logistics including creating trip itineraries. Working closely with other Executive Assistants to coordinate travel with other executives.
- Provide research and project support as requested.
- Oversee and manage deadlines and communications related to ongoing projects and open matters with various teams to keep the teams informed of work plans and progress toward goals.
- Assist with the creation of presentation materials and power point presentations.
- Serve as a reliable source of information for employees, promptly seeking information and answering questions, or re-directing as appropriate.
- Assist with the execution of activities designed to enhance employee engagement and appreciation.
- Ensure meeting rooms are prepared in advance of on-site or virtual interviews.
- Receive/distribute mail.
- Monitor office supply inventory and place orders as needed.
- Additional Talent Services support requirements:
- Maintain cross-training on recruitment/onboarding related responsibilities of the Talent Services Coordinator.
- Assist in ensuring the accuracy and confidentiality of all Talent Services related information and data.
- Schedule interviews for Talent Services team members. Greet and escort candidates when they arrive at RDV Corp ensuring a warm welcome and high level of hospitality.
- Maintain cross-training on recruitment/onboarding related responsibilities of the Talent Services Coordinator.
- Assist in ensuring the accuracy and confidentiality of all Talent Services related information and data.
- Schedule interviews for Talent Services team members. Greet and escort candidates when they arrive at RDV Corp ensuring a warm welcome and high level of hospitality.
What You'll Bring
- Associate degree in business-related field required or equivalent experience in an administrative role.
- Minimum of seven (7) years of experience in a professional corporate environment performing business related duties and providing administrative support preferred.
- Proficiency in Microsoft Office Suite.
- Self-starter with excellent organizational, follow-through, problem-solving, and critical thinking skills.
- Work efficiently with a clam demeanor. Use sound judgment on when to handle items directly and when to seek input from others.
- Meticulous eye for detail and a strong commitment to accuracy.
- Demonstrate excellent interpersonal and communication skills, both written and oral with the ability to interface with a diverse array of audiences.
- Uncompromised commitment to the highest level of confidentiality and comfort in dealing with highly sensitive information.
- Ability to collaborate effectively with individuals from diverse backgrounds and personalities.
- Demonstrate a high degree of integrity, ethics, and discretion.
- Ability to be flexible and handle multiple priorities in a fast-paced environment.
