The Opportunity
This position provides proactive and hands-on care and daily maintenance of private residences. Responsibilities include supervising household operations, managing independent contractors, and ensuring the properties are well-maintained and running smoothly. The role requires excellent organizational skills, attention to detail, and the ability to handle various tasks efficiently. The Property Manager will also be responsible for coordinating repairs, overseeing cleaning and landscaping services, and ensuring the residences meet high standards of cleanliness and functionality.

The position is primarily located at a private residence in Winter Park, FL. Full-time position with typical hours Monday – Friday, generally between 8:00 am – 5:00 pm. Must have the ability to be on-call for security and access alarms.

What You'll Do

Household Maintenance

  • Conduct regular maintenance inspections throughout the residences.
  • Perform minor repairs and arrange for major repairs with appropriate contractors.
  • Solicit competitive bids for projects as needed.
  • Monitor and approve maintenance contracts and invoices for services at residences.
  • Regularly maintain all mechanical equipment (HVAC, plumbing, water softener, refrigerator, ice maker, electrical and security systems) to ensure optimal efficiency and operation.
  • Clean and organize garages, attics, and storage areas.
  • Maintain cleanliness of interiors and exteriors of automobiles, fuel levels, and repair requirements.
  • Ensure adequate stock of batteries, light bulbs, cleaning products/equipment, filters, tools, etc.
  • Assist other household staff as needed on a priority basis, i.e., moving furniture, lifting heavy objects, etc.
  • Coordinate exterminator service and treatments on a regular schedule.
  • Maintain cleanliness and operation of fireplaces; keep wood bins stocked.
  • Arrange for trash removal and put trash out for collection on scheduled days; maintain cleanliness and orderliness of trash receptacles.
  • Maintain and ensure operational readiness of water features, swimming pools, and hot tubs.

Grounds Maintenance

  • Conduct grounds and exterior maintenance inspections.
  • Perform minor repairs and arrange for major repairs with appropriate contractors.
  • Oversee gardening, mowing, and edging to ensure five-star quality within the flower beds and lawns.
  • Consult with grounds team and/or vendors for use of appropriate sprays and fertilizers and pest control for grounds; schedule applications as needed.
  • Ensure all lawn maintenance equipment is maintained according to manufacturer’s specifications.
  • Maintain operational readiness of small engines/batteries of recreational equipment needed for upkeep of premises.
  • Inspect painted surfaces, wood, stucco, stone, and grout conditions of exterior of residences; clean gutters periodically.
  • Inspect driveways at least once per year; arrange for repairs and preventive maintenance with contractors.
  • Ensure cleanliness and operational readiness of seasonal areas/equipment including outdoor patios, furniture, grills, swimming pool, hot tub, and other recreational items.
  • Assist with holiday decorating and special event requirements.

Automobile Maintenance

  • Maintain cleanliness of interiors and exteriors of automobiles, fuel levels, and repair and maintenance requirements.
  • Arrange for professional detailing of all vehicles as needed.
  • Ensure proper paperwork is in each vehicle, i.e., registration, insurance, documentation, etc.
  • Maintain service records for all vehicles; arrange service as necessary.
  • Ensure each vehicle is stocked with standard items, i.e., umbrellas, tissues, etc.
  • Maintain and ensure operational readiness of watercraft, including regular cleaning, fueling, and arranging for necessary repairs.

General Responsibilities

  • Acts as the first point of contact with all applicable parties related to property operations.
  • Ensures out-of-area property readiness for any family or guest visits.
  • Serves as project manager for special projects and construction-related work at all properties.
  • Solicits competitive bids as required.
  • Review project plans with Principals and provide status updates as necessary.
  • Complete oversight of the property team, fostering a culture of diligence and commitment to excellence.
  • Strategically plans, recommends, and implements innovative and creative solutions for new and existing challenges.
  • Coordinate/schedule/monitor various services, including exterminators, trash removal, lawn and landscape maintenance, sprinkling systems, tree service, snow removal, heating/cooling systems, appliance repair, plumbing repair, electrical repair, carpet cleaning, window washing, and water treatment systems.
  • Maintain an accurate contact list for outside vendors and contractors for the property.
  • Work with contractors to help develop and learn mechanical and electronic systems.
  • Maintain accurate records of maintenance items; keep a well-documented record of routine maintenance.
  • Pick-up/drop-off people or cars at airport locations.
  • Transport and stage bicycles at various locations as needed.
  • Perform special projects at the request of Heads of Household; run errands as necessary.

What You'll Bring
  • Property management experience required.
  • Valid driver’s license required.
  • Must be mechanically inclined with experience in equipment including ground maintenance, power tools, and small engines.
  • General knowledge and basic skill level in household maintenance trades, such as mechanical, plumbing, electrical, HVAC, etc.
  • Knowledgeable regarding proper care and maintenance of landscaping including lawn, trees, and shrubs.
  • Strong interpersonal and communication skills are essential.
  • Attention to detail, organization, and follow-through in daily routine is essential.
  • Ability to maintain a highly productive work output without immediate supervision.
  • Must be a responsible, dedicated, dependable, and self-directed person of highest integrity.

Essential Physical Demands
  • Required to wear appropriate employer-provided safety equipment in performance of job.
  • Ability to lift fifty (50) pounds; occasional lifting up to eighty (80) pounds.
  • Ability to stoop, bend, kneel, climb, and remain standing on feet for lengthy periods of time.
  • Ability to safely operate power machinery and tools.
  • Ability to work outdoors in all types of weather conditions.
