The Opportunity
This position is responsible for supporting RDV Philanthropy to ensure complete and accurate grant data is tracked and entered into the grant management software (GMS) for timely award notification and payment of approved grants. In addition, this role is responsible for drafting contracts and agreements for review and approval and for records management in adherence with the records retention guidance and policy. This role collaborates with the Grants Process and Data Manager to ensure professional, consistent, and timely communication with grant applicants and grantees regarding applications, award letters, payments, general inquiries, correspondence, etc.

What You'll Do

Grants Management

  • Prepare and maintain all grant agreements, contracts, and expenditure responsibility reports.
  • Generate accurate and timely check requests and check letters for review by various Grants team members.
  • Serve as back-up support for the creation of decline letters.
  • Enter financial data in grants management system (GMS), Excel, or other software.
  • Generate reports of grant payment status and outstanding payments.
  • Maintain accurate records for matching program.
  • Exhibit foresight and initiative in recognizing potential problems, needs and/or inefficiencies, and pro-actively propose alternative, creative, and innovative ways to best accomplish superior outcomes for team consideration.
  • Assist staff with research and analysis.
  • Support Program Officers in reviewing and renewing grants.

Financial

  • Prepare financial presentations for management review and analysis.
  • Participate in the creation of annual reports.
  • Gather financial information used for the development and preparation of quarterly financial reports.

Physical Records Retention & Storage

  • Maintain electronic and paper financial records.

Database and Data Coordination

  • Collaborate with the Grants Process and Data Manager and Technology Manager to ensure the ongoing maintenance, accuracy, and functionality of the GMS
  • Develop into a GMS “power user” assisting others with reporting, querying, troubleshooting, and data clean up.

What You'll Bring
  • Bachelor’s degree preferred.
  • At least three years of professional experience working in a related field.
  • A self-starter who is able to work independently on multiple projects and prioritize work.
  • Demonstrated project management experience. Deep curiosity to learn about a wide variety of non-profit organizations and a broad range of philanthropic interests.
  • Able to generate written content, proven proofreading skills and strong attention to detail.
  • Flexibility to work with multiple teams, and the ability to manage shifting workflow, clarify deadlines, and negotiate priorities.
  • Understands budgets and financial reporting and is able to format them in ways that relate to different types of audiences.
  • Experience with database(s) and budget tracking software.
  • Proficiency in Word, Outlook, social media, and website content editing tools.
  • Shares commitment to and is comfortable producing communications in a way that represents Christian beliefs and principles.
  • Ability to interface effectively with all levels of management in a highly professional and confidential corporate environment.
  • Flexibility to occasionally attend evening events and travel out of town.
  • Must be able to operate an automobile, be in possession of a valid driver’s license, and travel by plane when necessary.
