The Opportunity
The Administrative Assistant will serve as the first point of contact for guests of the Urban Church Leadership Center (UCLC), located on the campus of Cornerstone University. This position will also provide direct administrative support services to the Operations Manager and Director of the UCLC related to daily operations, scheduling, correspondence, event planning, meeting preparation, and project coordination.  In addition, the Administrative Assistant will work collaboratively with the entire UCLC team to help ensure that the Center’s mission and goals are accomplished.

Duties and Responsibilities
  • Fosters a highly hospitable and service-oriented environment within the UCLC.
  • Ensures smooth daily operations of the UCLC:
    • Performs opening duties at 9 a.m. and closing duties at 6 p.m., Monday-Friday.
    • Greets and welcomes all guests; maintains a friendly, professional demeanor in interactions with all UCLC visitors.
    • Maintains and updates a daily log of all visitors.
    • Maintains a clean and organized space for UCLC guests and team.
    • Prepares meeting rooms and training spaces as needed.
    • Maintains appropriate inventory of supplies, food, and beverages.
    • Helps ensure timely payment of invoices
  • Schedules meetings, coordinates logistics of webinars and conference calls, arranges travel and accommodations, and confirms attendance of meeting participants.
  • Creates PowerPoint presentations and prepares materials for programming and events.
  • Takes accurate and detailed meeting minutes.
  • Builds relationships and uses professional communication skills with UCLC guests, pastors, stakeholders, and vendor partners to advance the mission of the UCLC. 
  • Enters data in the Salesforce contact management database.
  • Produces memos, reports, forms, letters, emails, documents, and other communications as requested.
  • Creates and maintains an electronic and hard copy filing system.
  • Initiates, participates in and/or monitors projects as directed by the Operations Manager or Director. Works concurrently on multiple projects and tasks providing timely and accurate project plans and updates. Sees the projects through to completion.
  • Works independently and collaboratively with the UCLC team to achieve operational targets, strategic objectives, and performance goals.
  • Provides event planning support in close collaboration with staff.
  • Attends all events to provide hands-on assistance.
  • Provides general support to other office staff members and assists with special projects as assigned.
Elements of Success
  • Fluent in English and Spanish verbal and written communication, including grammar, spelling, punctuation, and composition skills.
  • A minimum of an Associate’s degree and 4 years of professional administrative or secretarial experience.
  • Experience working with multi-cultural congregations, not-for-profits, or in community organizations.
  • Proven ability to create an exceptional team and visitor experience; consistently demonstrates enthusiasm and professionalism for exemplary standards of customer service.
  •  Excellent teamwork skills with a dedication to be a team player at all times.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and the Internet, with a focus on demonstrated creativity.
  • Experience in presentation preparation and an understanding of social media networking and databases preferred.
  • Basic knowledge and experience with budgets and bookkeeping skills
  • Excellent organization skills with ability to initiate, prioritize, follow through on projects, work independently and be self-directed.
  • Exceptional attention to detail and a strong ability to anticipate needs.
  • Able to confidentially handle sensitive information.
  • Ability to multitask and provide timely and accurate services. 
  • Ability to be flexible in working additional hours for UCLC events.
