Position Summary:
This position will be responsible for providing administrative support for Amplify GR. Full-time, hourly/non-exempt position which reports to the Project Director.
Duties and Responsibilities:
Provide the following administrative support for the Amplify GR Leadership Team:
Office functions
- Greet guests as needed; practice professional and courteous hospitality.
- Thoroughly screen and manage incoming phone calls taking initiative to handle without direct supervision; provide information when appropriate, and/or direct inquiries to the appropriate person.
- Proactively order supplies and other tasks as needed for a smooth running office.
- Schedule meetings and calls; coordinate meeting arrangements and calendars.
- Create and prepare information for meetings.
- Plan and coordinate details surrounding public meetings or special events.
- Attend meetings to record minutes and notes.
- Organize travel arrangements.
- Support community engagement as requested.
- Complete expense reports and support bookkeeping and budgeting.
- Organize documents and historical records.
- Prepare e-mail communications and set up systems to access information easily.
- Assist with website updating and social media content.
- Support other aspects of marketing and communications for Amplify GR.
- Collect metrics, indicators and survey results and produce documents to display the information for presentations and reports.
- Assist in the development of tracking community engagement information and lead input of collected information.
- Keep detailed records of interactions with the public including current status, contact information, and survey information.
Requirements/Qualifications:
- Business or related college degree and at least three to five years of administrative support experience in a business or non-profit environment required.
- In lieu of a college degree, at least seven years of administrative support experience is required.
- Previous experience in not-for-profit setting and/or community affairs desirable.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and internet.
- Excellent verbal and written communications, English grammar, spelling, punctuation and composition skills.
- A good understanding of general office practices, procedures, and office equipment.
- Excellent organizational skills with ability to initiate, prioritize, follow through on projects, and work independently.
- Some experience with basic marketing and design.
- Exceptional attention to detail and strong ability to anticipate the needs of staff.
- Demonstrated ability to interface effectively with a variety of people; personal demeanor which is mature, courteous, cheerful, and gracious.
- Must be able to lift/transport boxes of approximately thirty (30) pounds; stoop, bend, and climb steps and stairs; and able to transport self to various locations within close proximity.
