The Opportunity
Seeking a detail-oriented team player who enjoys working in a fast-paced, fun environment! Ideal candidate will have excellent follow-through, be able to handle multiple projects at once, and is eager to learn. While this position will assist with the daily responsibilities of running a private household, they will also help facilitate events, including 2 large annual events. Duties and Responsibilities
  • Reviews itineraries, confirms following day’s work schedule, and communicates pertinent information to the appropriate household staff.
  • Performs a variety of administrative support functions, i.e., check email regularly and respond as appropriate, open and sort mail.  Answer phone and gates.
  • Communicates regularly with Principals and co-workers via email, cell phone, and texts.
  • Writes checks for various services.  Monitors and approves invoices. Balances household checking account.
  • Retains receipts for credit card and petty cash purchases; submits credit card and petty cash receipts and documentation for reconciliation.
  • Runs various household errands as needed.
  • Maintains inventory for commonly used office supplies, personal items, household items, cleaning supplies, and first aid kits.  Places orders, receives and stocks supplies in the home(s) and maintenance building locations.
  • Coordinates online orders.  Ensures accurate receipt of products. Unpacks and tears down boxes, arranges for returns of merchandise as needed and assists with recycling products in the home.
  • Places orders for floral arrangements
  • Answers phone, gate and door.
  • Assists with crucial duties of other household staff if they are unavailable.
  • Assists the Estate Manager with special events/dinner parties. Ensures guest list is finalized, selects and addresses invitations, tracks RSVPs, places rental orders, and schedules entertainment.  Assists with proper table and linen setting, set-up of buffet and/or wine stations, tear-down, etc.  Assists the Private Household Chef by informing him/her of guests’ dietary requirements.
  • Maintains orderliness and cleanliness of donation closet: sort, fold, hang, and pack articles of clothing.
  • Attends weekly staff meetings.
  • Conducts end-of-day procedures, including walk-through of residence to ensure items are picked up and/or stored appropriately; lights are turned off, master bed is turned down, and locks are secured.
  • Performs special projects as required.

Special Occasions & Christmas

  • Coordinates selection of cards for birthday, sympathy, thank you and special occasions.  Addresses cards, mails cards, and uses Amazon email cards.
  • Assists with various aspects of gift giving for special occasions and Christmas: gift shopping, selection, and distribution.
  • Gift wrapping – Have meticulous attention to detail and the ability to enhance the visual presentation of a package with bows and other creative elements. 
  • Organizes and tracks gift giving, receipt of gifts, and gift acknowledgment.
  • Assists with special occasion and Christmas party planning.
  • Assists with Christmas decorating: preparation, set-up, tear down, and organizes items for storage.

  • Willingness to perform all job duties and responsibilities in the home in which the Principals currently reside. 
  • Willingness to be flexible in day-to-day work location in West Michigan and be available to travel to other locations on occasion.    
  • Ability to be flexible in work hours during unexpected schedule changes.  Evenings and weekends may be required. 
  • Open to completing unusual or unexpected duties.
Education/Experience
  • Associates degree from accredited college or university.
  • Knowledge of household table etiquette, service, and entertaining protocol.
Additional Requirements
  • Valid driver’s license required.
  • Responsibilities are conducted in the home of the client of RDV Staffing.  While an employer/employee relationship exists, it is important that employee is genuinely committed to being part of the household staff team whose goal is to contribute to a happy home environment.
  • The Principals’ privacy is of critical importance, and the highest level of confidentiality must be exercised at all times.
Essential Physical Demands
  • Ability to lift thirty (30) pounds to a maximum height of six (6) feet.
  • Ability to remain standing on feet for lengthy periods of time; climb steps and stairs; stooping, bending and kneeling.
