The Opportunity
This position will provide administrative support services for the CDV5 Senior Director of Business and Operations. Some of the responsibilities include daily administration, planning, scheduling, correspondence, project coordination, as well as overall support for CDV5 family business office and staff. This position will also provide assistance to the CDV5 Business Development Team.

Duties and Responsibilities
  • Acts as primary administrative assistant to Senior Director of Business and Operations, including calendar management, scheduling, meeting coordination, travel booking, expense reporting, general administrative duties, and hosting visitors.
  • Provides project support and coordination for a variety of business and family projects, including research, planning, creating timelines, tracking, follow up, and in some cases project leadership.
  • Provides general support and assistance to other office staff members as assigned.
  • Communicates and coordinates with household staff and RDV Corporation on a variety of items as needed.
  • Works with Family Assistant as necessary to assist with administrative details, event planning, etc.
  • Coordinates business travel arrangements and maintains detailed itineraries as assigned; assists Personal Assistant with family travel planning as necessary.
  • Maintains property schedules and works with the Property Manager to ensure properties are appropriately staffed, stocked, and represented for practices and events.
  • Maintains the family bus schedule; ensures it is properly communicated to the necessary individuals.
  • Manages and tracks vehicle website.
  • Ensures smooth operation of office at all times.
  • Assists with special projects as assigned.
  • Assists CDV5 Business Development Team with:
    • Marketing
    • Social media
    • Accounting data entry
    • Event planning and execution
    • Calendar coordination
    • Phone management, greeting visitors, and meeting setup
    • Miscellaneous projects as assigned
Education/Experience
  • Minimum of three years of administrative support experience in a professional environment required; Bachelor’s degree preferred.  
  • Supervisory experience preferred.
  • Strives to ensure all duties and responsibilities are completed with exemplary attention to detail and the highest standards for all aspects requested.
  • Proficiency in use of Word, Excel, Outlook, PowerPoint, technology, and the internet.
  • Demonstrated proficiency of general office practices, procedures, and office equipment (i.e. phone/video conferencing, etc.)
  • Excellent organization skills with ability to initiate, prioritize, follow through on projects, work independently and be self-directed.
  • Proven ability to create an exceptional team and visitor experience; consistently demonstrates enthusiasm for exemplary standards of customer service.
  • Excellent verbal and written communications skills; resourceful and assertive in gathering information to effectively communicate.  
  • Excellent teamwork skills.
  • Ability to establish rapport with others and establish strong interpersonal relationships.
