The Opportunity
Seeking a warm team member who will be responsible for providing a friendly welcome to all guests in the office! This position is responsible for providing administrative support for the Technology Services department and will work closely with the organization's telecommunications/mobile program.

Duties and Responsibilities

Receptionist Support

  • Greet and welcome guests; practice professional and courteous hospitality.
  • Maintain inventory and proactively order technology supplies, office supplies, and breakroom supplies.
  • Prepare meeting and training rooms.
  • Open, sort and distribute incoming correspondence and packages.
  • Prepare documents and perform data entry tasks as assigned.
  • Maintain breakroom organization and cleanliness.
  • Execute other office tasks as needed.

Administrative Support

  • Schedule department meetings and calls; coordinate meeting arrangements and calendars.
  • Coordinate, setup and order lunches for meetings as needed.
  • Provide travel arrangement support as needed.
  • Package and ship both domestic and international shipments.

Telecom, Internet, and A/V Service Plans

  • Work with the Telecom and Technology Account Specialist to maintain telecommunications technologies (cellular, data, and landline circuits), including ordering service and equipment, and coordinating cellular number porting.
  • Handle the addition/change/deletion of features from cellular, telephone, and data accounts.
  • Maintain Mobile Device records.
  • Provide backup for the Telecom and Technology Account Specialist in maintaining the A/V service accounts for Family and RDV Corporation, including Cable\Satellite TV (Comcast, DirecTV), and Satellite Radio (Sirius XM).
  • Provide backup for ordering and coordinating new service and repair appointments for internet accounts (Comcast, AT&T, Charter, etc.)

Corporate Contact Management

  • Maintain corporate contact lists.

Other

  • Appropriately address and respond to inquiries and problems in a timely manner.
  • Provide support for special projects in the Technology Services department.
Elements of Success
  • High School Diploma
  • At least two years of experience in a professional environment.
  • Experience working with telecommunications vendors preferred.
  • Facilitation skills, negotiation skills and the ability to document thoroughly.
  • Excellent verbal and written communication skills with the ability to organize, prioritize, and follow through on projects and work independently.
  • Demonstrated high level of attention to detail.
  • Proficiency with the Microsoft Office Suite.
  • Ability to work with the highest level of confidentiality at all times.
  • Must be able to lift/transport boxes of approximately thirty (30) pounds; stoop, bend, and climb steps and stairs.
